Choose Your Venue – Not Your Date!

Dear Brides,

 

It is THAT time of year again.  The time when venues begin getting emails that say,  “Our date is October 20th, 2019- do you have that open?”  We don’t, and we have had it booked for a year and a half.  We have heard horror stories of brides sending out Save The Dates and then not being able to find a venue.

October is the busiest time of year for venues.  The other busiest times are the rest of the year!  Sometimes August can be slow – but we have all our August dates booked.

If you are just wanting a particular date – you will always need to book early.  Yes – we have 10-10-20 already booked 19 months early.

We understand that there are special dates – but the venue makes the wedding, not the date!  Please be flexible with your dates.  If the date is reflective of important family events, first dates, proposals – remember that it is always nice to have something new to celebrate!

Important Factors for Looking for a Venue:

  1. Will it fit the amount of people you are inviting – or are you willing to invite less?
  2. Is there a great back-up plan if it is an outside venue?
  3. If you are having several bridesmaids – are there enough electrical outlets and room for you to all get ready?
  4. How difficult and expensive will it be to decorate the venue?
  5. How flexible are the staff with your needs and requirements?
  6. Who will be there the day of your wedding for emergencies?
  7. Are there hotels near by?

Best Practices: Choose Your Wedding Venue First & Your Date Next!

One of the hardest things as a venue owner is to see a couple get stuck on a date.  It always makes us sad  because we know they are shutting the door to so many wonderful venues.   And of course – we hate to see devastated faces when couples and their families love everything about our venue – but don’t book because they just have to have that ONE date.  We even had one couple who had already sent out their “Save the Dates” before they found a venue and booked!

Your date does not MAKE your wedding.  Your friends, and family and the setting you choose make your wedding!  Let me try to make an analogy.  Suppose the day you want for vacation, only Six Flags was open.  But if you would choose the next day – You could go to Disneyworld.  Wouldn’t you want to choose Disney World because of how much more it offers? Not that Six Flags isn’t a lot of fun…. but you are giving up a wonderful opportunity over a day.

The best choice is usually picking a date range first. It may even be over a few months. Go through your calendar – put in all the other events, holidays, family obligations, work schedules, other friends’ weddings and see where there is an opening.  And then when you visit or email venues you do not have to mark the best venues and your favorites off the list.

Also consider birthdays – how would you feel if your birthday was close to your anniversary and so you never really felt fully celebrated on your birthday?  Are you a presents person?  Then this might cause future resentment.  Seems silly – but it happens.  Trust me. You want your anniversary to be a time when you can truly celebrate JUST THE TWO OF YOU!

Of course, some of you are getting married at churches with limited openings and you HAVE to make the church choice your first priority. That’s understandable.  My advice then is to get the church booked AS SOON AS POSSIBLE – so you can have more choices with your venue.

 

Choosing the date first limits you and causes stress you shouldn’t have to experience.  It also keeps you from giving up what you love best in the venue that no longer has your date.  We recommend you don’t do that to yourself.  But if you do just remember there is going to be a lot of disappointment in your search.  And if the date is worth that – then you be you!?

 

 

Real Weddings: Meet the Vaughns!

Jordan & Jordan were married at Avalon Legacy Ranch last March. Recently we asked a few questions about their wedding day to share with future brides and grooms! They had absolutely stunning florals, great music, delicious food and one of the most packed dance floors we’d ever seen!

Here’s what Jordan had to share about her wedding day at Avalon Legacy Ranch-

What was your favorite memory from your wedding day?
I actually have two favorite memories… my first look with my dads, and Jordans reaction when I walked down the aisle. I have never felt more beautiful than seeing him look at me the way he did when I walked down the aisle.




How did you and Jordan meet? How did you know he was “the one”?

Jordan (the boy) and I met on a cruise actually! I was with my family and he was with his family. I saw him the very first night on the ship and thought he was dreamy. He came up to me on the last day (because my dad told him I thought he was attractive) and here we are two years later and married!

What was your favorite part about the planning process? 

I loved being surrounded by friends and family through out the entire process. I loved having my favorite people in the entire world all in one place.

What made you choose Avalon Legacy Ranch as your ceremony and reception venue?

Avalon Legacy Ranch was the only venue we looked at and we knew the first time that it was the venue we wanted to celebrate our wedding day at. It felt like a home from the first time we were there. We didn’t want our wedding day to feel fancy or like a wedding, we wanted it to be a celebration with all of our favorite people and thats exactly what it felt like. It also might have been a plus that Debbi and Alee run the venue and we loved them too!

What was your favorite “little detail” from your wedding?

My grandpa passed away when I was in elementary school and he played a big role in my childhood. He had a pin he wore on all his collared shirts with his initials “WCK” and I was able to pin those to my bouquet so that I had a part of him with me.

How did you know which vendors to hire?

I had done my research before the wedding pretty well and already knew for a while who we wanted to use. We went with our DJ company because my best friends fiancé’s family owns that company. We both LOVE Nothing Bundt Cakes so that was a no brainer. My husband got to choose the food so we went with Babes Chicken. My florist from the beginning was amazing, and I loved her to pieces. My photographer I had stalked for a while and knew before I got engaged I wanted to use her. Our videographer was just someone I came across but so thankful we found them!!

What are some of the favorite things your guests have told you about your wedding day?

Everyone we have spoken to has told us how much fun our wedding day was. I wanted our reception to be nothing but a dance party and thats exactly what is was (thanks to our DJ). We were also told that it was the most beautiful wedding they have ever attended, and I have the gorgeous venue to thank for that. We did not really have to do anything really to decorate because it was so naturally gorgeous!


Whats your best piece of advice for future brides?

Make sure on the day of your wedding you take time to sit and reflect and just be still. The day literally flies by so stinking fast and if you can afford a videographer then do it, best money ever spent. Soak up the entire day and ENJOY it. Dont focus on the little details because no one remembers them and neither will you, but have fun. It was my favorite day ever, I woke up the next morning so sore from dancing so much!

What was the most memorable part about your wedding day?

The most memorable part about my wedding day was taking the First Look with Kate Pease, as it was a time to be very mindful of what was going on…this was it, this is my forever and what I’ve always wanted. I don’t know if I would have had that if it wasn’t for First Look, as your wedding day is always full of so many other obligations.  

How did you know JR was “the one”?
JR knew before me that we were soul mates. It took me a little time to believe that was even a thing! When I finally knew, was when I was on the phone with him, while pumping gas (during the time we were dating) and he asked me to be with him forever. Sounds like an engagement now that I write this out, but It was more like him telling me his intention and it’s as if he wouldn’t take no for an answer, as he knew I’d never say no…that’s when I KNEW he was The One!

What set Avalon Legacy Ranch apart from other venues you looked at?
When looking online for venues, this one seemed perfect for our personalities. It was far out, but not so far it would take hours to get there. Mostly however, because of how open and natural it was. It was so quite and quaint when we finally took the tour and we set out to see 2 venues that day. When we arrived JR and I looked at each other (just in the parking lot) and knew we wanted it, but didn’t say it at first. JR told me before we started our day of touring these venues “Look, let’s not act rash, and just tour and then think about it for awhile, we have plenty of time”… as we sat down alone after Alee took us around, I said “Jr, I know you said….” and he replied “Yup, I know, it’ the one, lets do it today”… so not only was JR The One, this venue was, The One!

What do you wish you would have known during the planning process that you know now?
That although my mom was the best wedding coordinator ever, I really think it’s smart to hire one so theres less stress. My mom did an exceptional job, but she was also the person who DID my wedding. She did all the decor and flowers and …just everything. So my poor mother had to do all that AND coordinate it. I wish she would have been able to enjoy it like I did. Now I know, to advise anyone getting married to hire a coordinator.

What was your favorite part about being engaged?
My favorite thing about being engaged was “being engaged”… you’re only engaged for a short time… I was very mindful of it the entire time. I would think about it all the time and tell whomever I could that “I am engaged”… sounds silly, but it’s true.

We loved the details on your shoes! Tell us about that! Were there any other special details from your wedding day that you loved?

I had 2 pairs of shoes for my wedding. The heels I wore during the ceremony I bought at DSW online. They were a peach-champagne with a personal touch from my mom. She had these pearly white stickers (believe it or not) that we added to the shoe, which made it extra vintage looking. My flats I wore at the reception actually had those very same stickers on them, so it was such a nice transition from heels to flats and still both so beautiful.

Holiday Shopping!

It’s the Most Wonderful Time of the Year – For Buying!

 

It’s the Holidays and you are probably making shopping lists, buying Starbucks and looking forward to being around friends and family.

 

While you are doing all of that, I am sitting at my desk thinking of all the great things you might want to purchase for your wedding a week from today.

Here are a few items you might think of purchasing:

Gifts

EVERYTHING will be on sale. This is a perfect time to buy Bridesmaid’s and Groomsmen’s gifts.  Hostess gifts, Bridal Party gifts.  Hotel Gift Baskets! Does anyone really mind saving 75% on something you were going to buy anyway?

 

Paper Goods

Party City, Michaels, Hobby Lobby – all will have paper goods on sale and coupons for 50% off total purchases.  If you are choosing to use paper goods rather than china, it’s a great time to buy appetizer, dinner and cake plates, napkins cups for drinks, cute boxes for favors, it may seem early if you are getting married in the Fall, but how nice to know all of this is already purchased which leave more money for everything else you need to purchase!

 

Décor

Same stores as above. Do you need décor?  Cute signs?  Frames? Table Decorations?  This may be a great time to shop for those items as well.  West Elm and Pottery Barn all have beautiful votives on sale.

 

Being wise with your budget means you will have more money for other extras!  Or maybe more money for the honeymoon!  And what a relief – to know that all of these small details can be checked off your list!
